EFI certifies farms, packhouses and processing facilities that meet the highest labor, food safety and integrated pest management standards in the fresh produce industry. EFI is currently working with 80 agricultural operations in 5 countries which together employ nearly 60,000 farmworkers.

Job Location/Travel
This position is permanently remote. This position may require travel up to 3 times a year. A successful candidate must be able to legally work for a U.S. company and is preferred to reside in one of the following states: CA, CO, DC, MD, OR, TX, VA, WA.
Overview of Role
Under the direct supervision of the Finance Manager, this position provides administrative support for the Operations Department. In addition to general administrative duties, this position performs duties such as data entry into QuickBooks Online, coordination of The LAB payment processing, meetings and conferences, supply management, coordinating direct mailings, and working on special projects. This position is privy to highly confidential and sensitive information. Independent
judgment is required to plan, prioritize, and organize a diversified workload.
Primary Responsibilities
- Liaise with management, staff, and others in an appropriate and professional manner consistent with representing the EFI.
- Process bi-weekly payroll labor distribution data and prepare for import into QuickBooks Online and maintain corresponding records.
- Process monthly Credit Card/Expense Reports and prepare for import into QuickBooks Online and correspond with staff for timely and accurate reporting.
- Process incoming deposit details and voucher posting into QuickBooks Online and Process ACH/Wire Verification requests.
- Process invoice requests in Stripe & Bill.com as required and upload supporting
documentation to the appropriate folders. - Track and complete Accounts Receivable Collections Calls for past due accounts and update customer account records accordingly in QuickBooks Online/and or Salesforce.
- Respond to regularly occurring requests for information in the areas of expense reporting, timesheet entry, Stripe verifications, and W-9/Certificate of Insurance requests.
- Maintain setup of new project codes in TriNet and other relational databases.
- Assist in processing the EFI’s contracts and document maintenance of personnel files.
- In coordination with management, assist in scheduling board and staff meetings and preparing meeting materials for both in-person and remote meetings.
- Support management in assisting staff with IT needs/requests via a remote desktop application.
Skills & Qualifications
- At least 2 years of work experience (preferably in a nonprofit)
- Strong administrative and organizational skills and meticulous attention to detail.
- Excellent time-management skills, the ability to multitask, take initiative, and use sound judgment
- Bachelor’s degree preferred in a relevant subject area (for example, Business management, administration, financial and/or human resource management)
- Excellent written and oral communication skills
- Intermediate to expert knowledge of Microsoft (Word, Excel, PowerPoint) Office and Adobe
- Prior experience with QuickBooks accounting software is preferred
- Experience with TriNet and Salesforce is helpful but not required
- Ability to speak and write in Spanish is a plus but is not required
Salary and Benefits
Total compensation for this position includes an hourly rate of $33.65 and is part-time @ 20 hours per week. This position is part-time, non-exempt and does not receive benefits except for sick leave and pro-rated holidays that fall during the regularly scheduled work days.
